Asset information management: the standard requires that asset information is up-to-date, accurate, and accessible to those who need it. CMMS must maintain a current asset register with hierarchy, condition, maintenance history, and cost data.

Life cycle management: ISO 55001 requires decisions about asset acquisition, operation, maintenance, and disposal to be documented and risk-based. CMMS supports this through maintenance strategy documentation, condition assessments, and cost tracking per asset. Performance evaluation: the standard requires monitoring, measurement, and analysis of asset performance.

CMMS must provide KPI reporting on PM compliance, MTBF, MTTR , and maintenance cost per asset. Continual improvement: ISO 55001 requires a formal process for identifying and implementing improvements. CMMS supports this through analysis of failure patterns and maintenance cost trends.

ISO 55000 Audit Evidence: What Auditors Look For in CMMS

ISO 55001 certification audits assess whether an organization's asset management system meets the standard's requirements. When auditors examine CMMS evidence, they look for specific types of records. Asset register completeness: does the CMMS contain all significant physical assets with documented criticality classifications?

ISO 55001 does not require every bolt and gasket to be in the system, it requires that significant assets are managed systematically. The CMMS cannot be a passive data repository, it must demonstrate active use in asset management decision-making, which means regular reporting reviews, corrective action tracking, and evidence of program improvement based on CMMS data.

Implementing CMMS for ISO 55000: The Gap Assessment Approach

The most effective approach to CMMS implementation for ISO 55000 compliance starts with a gap assessment against ISO 55001 Clause 9 (Performance Evaluation) and Clause 10 (Improvement). Map your current CMMS capability, or lack of CMMS, against each clause requirement and identify gaps.

Typical gaps in organizations new to ISO 55000: no formal asset criticality classification in the CMMS (Clause 6.2), PM schedules not linked to documented maintenance strategies that justify their frequency and scope (Clause 8.1)

no systematic tracking of PM compliance with defined targets (Clause 9.1), and no formal process for updating PM programs based on failure history (Clause 10.1).

Address these gaps in order of criticality classification: start with your highest-criticality assets, get their maintenance strategies documented and loaded into CMMS, track compliance against targets, and demonstrate improvement cycles.

ISO 55001 certification auditors accept a phased implementation approach, demonstrating that the system is functional for critical assets with a roadmap for full deployment is typically sufficient for initial certification, with follow-up audits tracking the roadmap.
