Lockout/tagout (LOTO) management in CMMS is both a safety requirement and a regulatory compliance obligation.

OSHA 29 CFR 1910.147 in the US and equivalent regulations in the EU (Machinery Directive, Low Voltage Directive) require documented LOTO procedures for all equipment with potentially dangerous energy sources.

CMMS integration with LOTO management should work as follows: each asset in the CMMS has associated LOTO procedures stored as documents or structured records when a work order is created for a task requiring energy isolation, the LOTO procedure is automatically linked and a work permit step is added to the work order workflow

technicians cannot mark the work order as complete without confirming LOTO procedures were followed (either through a checklist or electronic signature) and LOTO procedure usage is tracked, enabling audit evidence that procedures are being followed.

Safe work permit management in CMMS varies by vendor: some platforms include native permit-to-work workflows, others integrate with dedicated permit management systems.

For ISO 45001 compliance, the requirement is that high-risk maintenance tasks have documented, auditable authorization and control, whether this is managed natively in CMMS or through an integrated permit system matters less than whether the process is consistently followed.

Safety Inspection Scheduling and Incident Tracking in CMMS for ISO 45001

ISO 45001 requires periodic inspection of workplace equipment and facilities for health and safety compliance, a class of maintenance activity that must be scheduled and tracked in CMMS.

Safety-critical inspection categories typically managed in CMMS: pressure vessel inspection (PSSR in the UK, National Board requirements in the US, typically annual with certified inspector); lifting equipment inspection (LOLER in the UK, typically 6-monthly); emergency stop and safety guarding inspection (as part of scheduled machine safety audits); fire suppression system testing; fall protection equipment inspection; and first aid equipment checks.

These inspections differ from production maintenance PMs because they often involve regulatory-mandated frequencies that cannot be deferred without compliance implications, and records must be retained for statutory periods (typically up to 10 years for some inspection types).

CMMS must distinguish safety-critical inspections from operational PMs in reporting. ISO 45001 auditors and regulatory inspectors will specifically check compliance with mandatory inspection frequencies.

Incident and near-miss tracking, while often managed in a separate EHS system, should be linkable to CMMS assets: an incident on a specific machine should automatically trigger a CMMS review of recent maintenance history and open work orders for that asset, connecting the safety management system to the maintenance system.
